Roles and responsibilities

We are currently looking for an executive assistant who will support the General Manager and the Board of Directors in the management of the company’s administrative activities. The responsibilities are as follows:

Administrative and documentary management

  • Monitor the administrative task calendar
  • Coordinate meetings, prepare documentation and manage follow-ups (Board and management committee)
  • Coordinate client invoicing monthly
  • Manage the SharePoint directories (structure, access, retention schedule)
  • Periodically update the documentation of administrative processes
  • Review expense reports based on current policies
  • Maintain payroll highlights

Employee onboarding and management

  • Prepare job offers and manage work contracts
  • Manage platform access and periodic updates (group insurance, time sheets, SharePoint)
  • Manage annual readings of company policies

Material resource management

  • Manage IT equipment (order, inventory, repair coordination)
  • Manage the Québec City and Montréal offices (management of maintenance, new equipment, snacks)

Support and coordination

  • Assist for the preparation of STATLOG Days
  • Prepare company presentations when required
  • Manage the recognition calendar and take part in recognition activities (years of service, birthdays, life events)

Requirements

  • Diploma of College Studies in office administration or the equivalent
  • At least 5 years of experience with similar responsibilities
  • Extensive knowledge of Office 365
  • Proficiency with French and English (oral and written)
  • Work in the office in Montréal or Québec City two days a week
  • Be available for occasional trips to Québec City or Montréal, depending on the home office
